Regarding Mitchell’s Playground Activities and Diapering Concerns

RE: Clarification of Mitchell Anderson’s Slide Instruction and Diapering Schedule

Dear Mr. Matthias and Shepherds Daycare Staff,

I am writing to address the concerns raised during yesterday’s parent-teacher conference regarding my supervision of Mitchell (age 2) during outdoor playtime on January 18th, as well as the subsequent matter concerning his diapering needs. As Mitchell’s designated caretaker, I believe it is imperative to provide a thorough explanation of the circumstances to ensure complete transparency and to rectify any misunderstandings.

Regarding the Slide Instruction

I acknowledge that Mr. Sebastian observed me providing Mitchell with individualized slide instruction while the other children were engaged in general playground activities. I would like to clarify that this decision was made with Mitchell’s developmental needs in mind and was conducted with appropriate safety protocols.

As you may be aware from Mitchell’s developmental assessment (conducted by Dr. Pascal on December 12th), Mitchell has demonstrated delayed gross motor skill development, particularly in areas requiring balance and coordination. Dr. Pascal specifically recommended increased opportunities for guided physical activities to address these developmental concerns. The slide instruction was implemented as a direct response to these professional recommendations.

The instruction followed established safety guidelines, including:

  1. Maintaining constant physical proximity with hands-on support

  2. Ensuring proper sliding position (feet first, seated upright)

  3. Teaching Mitchell to wait until the landing area was clear before descending

  4. Utilizing the toddler-appropriate slide with reduced height and incline

  5. Providing verbal cues to reinforce proper technique and body positioning

I understand that Mr. Sebastian expressed concern that this individualized attention may have appeared to separate Mitchell from peer socialization opportunities. However, the instruction was limited to 15 minutes of the 45-minute outdoor period, after which Mitchell was integrated into group play with appropriate supervision from Mr. Anton, who had been briefed on Mitchell’s specific needs.

Addressing the Diapering Concern

Regarding the matter of Mitchell remaining in dirty Pampers, I must respectfully but firmly clarify what appears to be a significant miscommunication. Upon returning from outdoor activities at 10:45 AM, I performed a routine diaper check on Mitchell and noted that a change was needed. I promptly brought this to Mr. Anton’s attention, as he was the designated diapering staff member for that rotation according to the daily assignment board.

Mr. Anton acknowledged my notification and indicated that he would attend to Mitchell after completing a diapering in progress with another child. I then proceeded to wash Mitchell’s hands and prepare him for the pre-lunch reading activity as outlined in the daily schedule. When I noticed at 11:20 AM that Mitchell had not yet been changed, I again approached Mr. Anton, who stated that he had become engaged with a behavioral incident involving the Prescott twins and had inadvertently overlooked Mitchell’s diapering needs.

I immediately took Mitchell to the changing station myself, only to discover that the supply of size 4 Pampers had been depleted. I promptly notified Mr. Thomas, who was covering the front desk, of the supply shortage. He advised that a new package was in the storage room and that Mr. Vincent, the facilities manager, would retrieve it momentarily. After waiting approximately seven minutes with Mitchell at the changing station, I made a third attempt to expedite the matter by directly locating Mr. Vincent, who was addressing a plumbing issue in the staff restroom.

The new supply of Pampers was finally secured at 11:35 AM, at which point I immediately changed Mitchell. The total time elapsed between initial identification of the dirty Pamper and completion of changing was approximately 50 minutes. While this duration is clearly outside the center’s 20-minute maximum diaper-check policy, I want to emphasize that this was not due to negligence on my part but rather a series of logistical complications that have been documented in my daily report log.

Proposed Resolutions

To prevent similar situations in the future, I would like to propose the following adjustments to our protocols:

  1. Regarding Individualized Instruction:

    • I will provide advance written notice when implementing any specialized developmental activities

    • Such activities will be limited to 10-minute intervals to ensure balanced social integration

    • A second staff member will be explicitly assigned to maintain general supervision during these periods

  2. Regarding Diapering Procedures:

    • Implementation of a visual tracking system at the changing station to flag overdue diaper changes

    • Daily inventory checks of Pampers supplies before each shift transition

    • Designation of a secondary staff member for diapering responsibilities during high-activity transitions

I remain deeply committed to Mitchell’s care and development, as well as to upholding the exceptional standards that have made Shepherds Daycare the premier childcare facility in our community. I would welcome the opportunity to discuss these matters further during next week’s staff development meeting, where we might collectively identify additional strategies to enhance our operational efficiency.
